Inherited a SharePoint
4,200 documents. No naming convention. No consistent folder structure. Roughly 40% of the PDFs are scanned images without OCR, which means search returns nothing useful for almost half the content.
The person who maintained it left eighteen months ago. I've been able to determine the following about their organizational system: there wasn't one. Or if there was, it existed entirely in their memory.
Specific issues found so far:
- Seven copies of a single specification document across five folders. Three different revision levels. None marked as current.
- Folder names reference project codes that no longer exist in any active system.
- A folder called
Archivecontaining 1,800 documents. A separate folder calledOld Archivecontaining 600 more. No discernible difference in content type or date range between them. - 23 Excel files with the word
trackerin the filename. They track different things. Some of them track the same things differently.
Estimated time to restructure: 3-4 weeks.
Estimated time it would have taken to establish a folder hierarchy and naming convention at the beginning: half a day.
